CUSTOMER DATA BACKUP POLICY

  1. Description

    The policy describes the conditions and archiving procedures which we (Rubitek Solutions Limited) will use to backup and archive the data that you (our Customer) will upload and store in our online software applications, such data hereinafter known as “Customer Data”.
  2. Scope

    This policy is only applicable to our Customers with an active contract supported by a written Agreement, such agreement hereinafter known as “the Agreement”.
  3. Definitions

    Backup means any copy of the Customer Data that is taken on a regular basis and stored in a secure location;
    Backup Retention Period means the amount of time in days that we hold Backups for in the event of Disaster Recovery;
    Disaster Recovery means the approach taken to recover services in the event of an Incident; 
    Incident means an event that affects either the availability, confidentiality or integrity of the Customer Data;
    Services shall have its meaning as defined in the Agreement.
  4. Backup Objectives

    Customer Data will be backed up at hourly intervals, each backup being replaced with the latest corresponding time version after 24 hours. One backup in each 24 hour period will be stored at a Disaster Recovery site data centre.  Full backups (taken no less than every 24 hours) will be stored for a period of 30 days.
  5. Policy Principles

    Customer Data and Customer Data backups are stored in UK data centres certified to ISO27001 standard and will never be moved outside the UK or a location that does not meet this standard, unless otherwise agreed and explicitly stated in your agreement.  Such data centres are used by us for the purpose of recovering data in the event of an Incident.
    Backups consist of:
    • Database Backups which are taken throughout the day at intervals no less than every 60 minutes;
    • File Backups which are taken throughout the day at intervals no less than every 60 minutes;
    Full backups are tested each day to ensure they are valid and only named employees of Rubitek Solutions Limited or our approved agents have access to such backups.  Backups will be stored in an encrypted form when saved to the storage system and the Disaster Recovery site data centre is maintained with equivalent capabilities as the production data centre to ensure the continuation of service performance in the event of a serious incident.
  6. Updates

    This policy is version 1 and was created on 27th July 2018.  Any amendments to this policy will be notified to customers with 30 days’ notice.
